Storage and Sharing of Research Data

RDS – Research Data Storage for Scientific Data

Description:
Network attached object storage exclusively for scientific data of any kind Availability: Institutions, projects and researchers in possession of a PSP-Element at no cost with obligatory research data management plan Size: Starting at 1TB Access Management: Via any S3 interface, in preparation is a Nextcloud-based research cloud as a simple access layer Compliance: No automatic encryption, sensitive data has to be encrypted by the user

Sciebo Personal

Description: NRW cloud storage service with collaborative editing and the possibility to synchronise data stored locally. Availability: Accounts for members of partner universities, incl. UoC (yearly renewal necessary). Storage: 30GB (for employees extensions are possible up to max. 500GB) at WWU Münster. Access Management: Data sharing and collaborative real-time editing with UoC members and external colleagues (via sciebo guest account). Standard access rights can be assigned to other sciebo account holders. Data Security: Internal replication and versioning of data; 2FA possible. Compliance: No built-in encryption, personal data from UoC members and special categories of personal data (Art. 9 para. 1 GDPR) may not be stored here..

Sciebo Project Box

Description: NRW cloud storage service with collaborative editing and the possibility to synchronise data stored locally. Availability: UoC employees can apply for a Project Box (yearly renewal necessary). Members of partner universities, incl. UoC can join existing Project Boxes (upon invitation). Storage: Max. 2TB for 2 years (renewable), at WWU Münster. Access Management: Data sharing and collaborative real-time editing with UoC members and external colleagues (via Sciebo guest account). Standard access rights can be assigned to other sciebo account holders. Data Security: Internal replication and versioning of data; 2FA possible. Compliance: No built-in encryption, personal data from UoC members and special categories of personal data (Art. 9 para. 1 GDPR) may not be stored here.

SoFS – Personal

Description: File-server storage area e.g. for digital documents, audiovisual material, and data (incl. pseudo-anonymized personal data). Availability: Automatically accessible with UoC account. Storage: Max. 10 GB, in RRZK servers. Access Management: Folders and files sharing assigning standard access rights with UoC account holders. Data Security: Internal replication, frequent snapshots, daily and weekly automatic backup. Compliance: No built-in encryption, storage of personal data GDPR-compliant only in conjunction with manual encryption.

SoFS for Institutions

Compliance: No built-in encryption, storage of personal data GDPR-compliant only in conjunction with manual encryption.

GigaMove

Description: Platform for the exchange(send and receive) of large files. Availability: Directly accessible with UoC employee’s or student’s accounts (no guest accounts). Storage: Max. 100GB/file, max. 1TB total, exchange takes place via a server at RWTH Aachen. Access Management: Files can be downloaded by any person with the link within 14 days (extendable) after upload. Data Security: Password protected download is possible. Compliance: Encrypted login and data transfer, automatic antivirus check.

Backup and Archive

TSM – Backup 

Description: Automatic backup system (tape robot). Availability: SoFS areas backed up by default. Backup of Institute's servers possible (contact faculty’s IT department). Backup of research and teaching data for individual PCs for UoC account holders (application and client software necessary). Storage: Max. 5TB (extensions possible under extra costs) in the RRZK. Data Security: At least two complete backups are available within the system at any time. Compliance: No built-in encryption.

TSM – Tape archive 

Description: Tape archive storage for files and data for mid- and long-term preservation. Availability: UoC account holders. Storage: Max. 5TB (extensions possible under extra costs), on RRZK servers. Access Management: No edition or deletion of files possible. Data Security: Replication at different locations in the UoC. Compliance: No built-in encryption.

RADAR – Research Data Repository for UoC – Coming soon

Description: RADAR (Research Data Repository) is a cross-disciplinary repository for archiving and publishing research data from completed scientific studies and projects. The focus is on research data from subjects that do not yet have their own discipline-specific infrastructures for research data management.

Research Environment

easydb – Content cataloging tool for digital collections

Description: easydb is a system for flexible and web-based management of digital collections. In easydb files can be enriched with metadata, stored and organized centrally. With the easydb image and media database you can manage photos, graphics, layouts, pdf files, office files, videos and music. Your data is stored unchanged and can be output directly from easydb for different purposes.
Requirements: easyDB is currently offered in a project and/or collection context for the scientific description and indexing of digital objects.

eLABJOURNAL – Electronic Lab Notebook

Description: Digital Lab notebook for individual and collaborative planning, execution and documentation of lab experiments. It allows setting up template procedures and protocols, management of samples and resources. Availability: Research groups and labs in the Faculties of Medicine or Mathematics and Natural Sciences. Storage: Few GB, on RRZK servers, required for planning and documentation of lab experiments, research data should be stored and archived at other appropriate places. Access Management: Group administrators can assign standard access rights to other team members. Data Security: Internal replication, frequent snapshots, automatic backup (on TSM).

Git – Version control

Description: Tool to track and manage changes in documents and software code. Availability: Directly accessible with a UoC account or in a team project as a Redmine feature. Storage: Max. 100 MB (when using home directory for personal use), max. few GB when using team access to a Git repo (depot) via Redmine. Data Security: Internal replication, automatic backup (on TSM). Compliance: Data stored in home directory is deleted along with the account after exit from UoC. Data stored in Redmine is kept for the lifetime of the project. Git data, including edit history, can easily be moved to another Git service at user’s discretion.

High Performance Computing 

Description: CHEOPS is a High Performance Computing Cluster that enables researchers (from UoC and other institutions) to solve complex problems, executing scientific simulations, performing data analysis, among others. Availability: UoC account holders can access the HPC cluster in two modalities: 1. Trial account: limited to 1000 core hours. Used mainly for testing purposes. 2. Full HPC account: service characteristics according to individual project needs. See fact sheet.  Access Management: Access to Cheops is possible from remote computers via SSH. Data Security: Internal replication, frequent snapshots, monthly automatic backup (on TSM). Compliance: No built-in encryption (intended for the next generation of UoC's HPC cluster).

Lime Survey

Description: Web-tool to conduct online surveys. It allows exporting the results and also basic processing and online visualisation of the data. Availability: UoC members. Storage: RRZK hosts its own LimeSurvey server, i.e. the data is stored at RRZK. Data Security: Data is frequently backed up. Compliance: Surveys with anonymous participants are possible.

MeisterTask – Task manager

Description: Agile task management tool. Incl. Kanban board, timelines, checklist, attachment and tags. Availability: UoC account holders. Storage: Few GB required for task management, research data should be stored and archived at other appropriate places. Documents and data are stored in Frankfurt. Access Management: Project administrator can assign roles and standard access rights to UoC account holders. Data Security: Geo-replication, daily, weekly and bi-weekly backup. Compliance: Encrypted data storage and transfer.

Redmine – Project administration

Description: Project administration system. Define and monitor processes and tasks. Specific features like Kanban board, resource planning, git, Wiki, Forum can be used. Availability: UoC employees can apply for a new project. UoC account holders can participate in existing projects (upon invitation). Access can be granted for few external project partners. Storage: On RRZK servers, few GB required for project management and files that required versioning (e.g. software code developed during the project). Research data should be stored and archived at other appropriate places. Access Management: Project administrator can assign standard access rights to UoC account holders and external team members. Data Security: Regular snapshots, daily automatic backup (on TSM). Compliance: After one year of inactivity the project is erased.

CAVE Automatic Virtual Environment – coming up soon 

Description: 3D projection room for visualisation and interactive analysis of multi-dimensional data and scanned objects (e.g. artifacts, architectures, archeological sides). Projects can be developed together with the RRZK visualisation team. Availability: UoC research teams and partners. Data Security: Data is stored and backed up in RRZK servers.

OMERO – Coming up as a Service for the Campus

Description: Image data manager tool that supports the organisation, sharing, annotation, ranking, display of imaging, especially microscopy data. Analysis with 3rd party tools (Fiji, R, Python, Java code scripts) is also supported. Availability: UoC Institutes, labs, projects or teams with cost center (PSP-element). Storage: Max. 1TB (extensions possible under extra costs), on RRZK servers. Access Management: Group administrators can assign standard access rights to other team members. Data Security: Frequent snapshots, daily automatic backup (on TSM). Compliance: No built-in encryption, special categories of personal data (Art. 9 para. 1 GDPR) may not be stored here.

Publication of Data

DOI – Persistent Identifier

Description: To make research data, digital documents, and other digital objects findable and citable, you can assign DataCite DOIs as persistent digital identifiers to these digital resources. The digital resources have to be hosted on infrastructure within the domain of the University of Cologne (uni-koeln.de).

KUPS – KölnerUniversitätsPublikationsServer

The Cologne University Publication Server (KUPS) offers all members of the University of Cologne the opportunity to publish their scientific publications electronically and make them freely accessible on the Internet. In addition, KUPS serves as a university bibliography with the aim of providing as complete a record as possible of the scientific publications of university members.
